Every company, whether in the UK, Germany or elsewhere in Europe, knows how difficult it is to comply with data protection and data security guidelines. However, the measures taken for this purpose rarely become a competitive advantage – and if they do, then this is usually in very dynamic market segments. The segment that Snom focuses on is the IP telephony market.
Protecting data processed in-house is a major concern for Snom. A breach of data protection regulations or even a data leak would undermine company trust. This is why Snom takes data protection and data security very seriously.
Snom has worked closely with service provider LOROP for some time now. Over the course of their partnership, numerous projects have been implemented that enable the manufacturer not only to react promptly to audits, but also to deal with all processes critical to the business success of the company in compliance with the law.
Michael Leondaris, Chief Information Officer at Snom, says: “Due to the number of retail partners who use our SRAPS service (“Secure Redirection and Provisioning Service“) for the automatic provisioning of IP phones, we need to find a way of automating the generation of data processing agreements (DPA) in accordance with Art. 24 of GDPR. The automatic dispatch occurs as soon as a partner has registered for it. Integrating this automation into our data processing procedures, while also taking into account the statutory data deletion periods or legal changes, requires massive resources. The result is certainly worth it though. Currently, we manage over 5000 contracts with partners using SRAPS, and this number is continuing to grow.”
Snom partners can enjoy the fast completion of all procedures necessary for processing their own orders and can simply concentrate on getting Snom products out to market successfully.
Those who are part of Snom’s partner program are obliged to process large volumes of sensitive data. Gold and silver partners are awarded quarterly bonuses for completed projects. In particular, employees who process business-critical and/or sensitive data have to sign two different contracts. When implementing a hybrid work model, these contracts also include provisions for the use of company equipment at home that is shielded from family members. Everyone also receives training on data protection and a final certificate, since a mistake in this area can have serious consequences.
“The biggest challenge is also incorporating the slightest change in the law into our processes as quickly as possible. LOROP has rewarded overall proven reliability in implementation with the development of ad-hoc certification that recognises our work and reinforces our efforts in further implementing transparency and excellence in the relationship with our customers and partners,” Leondaris adds.
Implementing data protection guidelines is only one part of Snom’s data protection plan. The decision to host all its servers and data in Frankfurt, the largest internet backbone in the world, is also part of this decision. “It would not make sense to invest so much effort in complying with European data protection guidelines and to store data abroad,” confirms Leondaris. “Our infrastructure is subjected to sophisticated penetration tests by our parent company four times a year. So far, these have been unsuccessful.”
